Ellen Conway Report:
Ellen has been working on removing gmds and inserting RDA fields.
There is an issue with Authority Records not coming back with corrections made. Ellen has suspended work on this until the issue has been resolved.

This is our last meeting of the 2015 calendar year. If you have not met the required three meetings you can view March, May, and September meetings on the MIN/Minerva web site. If you are viewing the meetings please e-mail Carin Dunay, Attendance Keeper, at minervaattendance@gmail.com to let her know which month you viewed.
Attendance meeting deadline:
The catalog committee sent a recommended asking the Executive Board to approve of setting a deadline to attend or view three meetings. The deadline for meeting the attendance policy is January 15 of the following calendar year. The Executive Board approved of the recommendation on Wednesday, November 4, 2015. An example is for 2016 libraries must attend or view three meetings by January 15, 2017. Minerva libraries still need to attend or view three meetings per calendar year.
A review was done on certain issues that do not get resolved.
Serial Records
Please do not create monograph records for items that are published annually. These items include travel books from Fodor’s, Frommer’s, and Lonely Planet. You need to attach these items to a serial bib and in the item record add a volume field with the year. To identify a serial record here is what you need to look for: “s” in the leader (“s” is for serial), ISSN, MARC 301 field with Annual, the 300 MARC field will not have the number of pages instead “v-“, and the publication year will have year with a dash “2015’”.
Accuracy
Punctuation is important in cataloging. Ellen hasn’t found a cheat sheet yet, but you can search RDA ToolKit and Library of Congress for examples.
Double check the title before attaching or bringing in a record as one word can make all the difference in adding a duplicate record to Minerva. Remember that the title page is the main source for the title of an item. You can add a 500 note for the cover title.
ISBNs please remove all subfields this includes the price, and a note indicating hardcover, paperback, or ebook plus all text.The subfields and text makes it difficult when loading new records into Minerva.
Subject headings that have |2fast or bisacsh need to be removed as they are not correct subject headings to be used in Minerva.
Old Records
Ellen asks libraries to correct old records that belong to your library. These records are bib records that were loaded when your library first joined Minerva. The old records have minimal information making it hard to merge together. If you could work on older records a few at a time it would help clean up Minerva.
To search in Create List the index is bar code (use your library’s range of bar code numbers); Type is bib; field Marc tag & add the field (MARC tag 300 is an example); condition equal to.
You can search for no subject headings, and missing MARC Fields. You can also submit a ticket to MIN for help to create list.
