–Graphic Novel wrap-up
Survey was about 3:1 in favor of having one bib for every volume in a graphic novel series. Why is this being done? Take a look at the OPAC – volumes are now visible in the title and will make it easier for patrons placing their own holds.
South Portland’s Tyla Schaefer and Lindsey Ryer have started creating bibs and moving items over to them. To see what this looks like in Minerva, see South Portland’s entries in the OPAC for One Punch Man. While this process is going on you might notice some empty Manga bibs – don’t fret, they will have items added to them soon. In the meantime, do not merge any graphic novel bib records. If you have questions, please email the committee at Minerva.cataloging@gmail.com
Stay tuned for opportunities to help with this project – we will need to import lots of new bibs. Tyla and Lindsey mentioned making a checklist to help make the cataloging easier.
Some fun numbers: this change will affect about 12,000 items and involves 850 series, mostly Manga.
Ann Russell will be reviewing the 19 page Graphic Novel treatise written by Bonnie Collins and will incorporate the new rule into the manual.
–Bestseller Express update from Josh Tiffany
At present about 6 libraries in Minerva have Bestseller Express collections. Each library has its own rules for the collections, but their appearance in our shared catalog causes confusion for all.
To see how these might be cataloged, search OPAC for GPLA Bestseller. This allows items to be visible in the catalog for those who know how to find them, yet they aren’t visible on the bibs for individual titles and thus don’t cause any stress or confusion. The standard will be sent out on MinervaCats for feedback before being sent to the Minerva Executive Board to be implemented. The circulation standards committee has given their okay on this standard.
–Cataloging Training Day
Katherine Morgan said that the executive board has approved a full cataloging training day at St. Joseph’s College on June 14 from 10:00-3:00 pm. There will be breakout sessions, lunch in the college cafeteria and tours of the campus. More information and sign-up opportunity coming will be sent on MinervaCats & Minerva_L listservs.
Cataloging Committee Report
-Cataloging Standards Committee has grown. New members are: Laura Meservey form Rockport, Robin Lowell from Freeport, Tyla Schaefer and Lindsey Ryer from South Portland, and Josh Tiffany from Gray. With more members the committee can work on items that have been on the back burner. We now have a few subcommittees and if you are interested on being part of a subcommittee please email the committee at Minerva.cataloging@gmail.com
Permissions: Lynn, Carin, Robin
Welcome: Carrie, Laura, Lyndsey
Mentoring: Holly, Anne, Ann
Graphic Novels: Tyla & Linda
Carrie, attendance monitor, reminded everybody that members must attend or watch 3 of the 4 cataloging meetings a year.
If you email the committee with a question and do not get a response in one week, please email the committee again with “2nd time” in the subject heading. We try to answer questions in a timely manner, but our regular library work gets in the way on occasion.
-MinervaCats protocol: If you take care of something that is posted to MinervaCats (merge duplicate records, fix page numbers) please send a message saying that you have taken care of the request so that others don’t search and find it done.
MIN Report
Minerva has hired Deborah Follansbee as Minerva Cataloging Specialist to help clean up the Minerva catalog, like Ellen Conway used to do. Ellen will be part of Minerva but her time is being split between Minerva, MILS, and URSUS.
-Billed items in Sierra
At present there are more than 16,000 items in Sierra that have been billed for more than four years. (There is a way to bill patron records for these items and then delete the items – ask MinervaCats if you have a question.) Please consider cleaning out some of your long-billed items.
Recently Sierra reached its max in the number of item records it could hold, so more storage space was added. It is good to delete items from the system when not needed (including long-billed items mentioned above) to avoid the cost of adding more capacity.
-Coming soon: Lynn: Sierra 4.2 more information will be sent on the listserv.
Other News
-Reading History in Minerva: The circulation standards committee will send a request to the Minerva Executive Board to turn on the reading history function. Libraries will be given the choice to opt in to save their patron’s reading history in the OPAC (NOT in Sierra). If a library opts in, then patrons of that library have the option to turn on their reading history. Patrons can edit their reading history and turn it off at any time. This is a patron-driven product, as many people want to know what they have checked out in the past.
-Coming soon: There will be beta testing for Minerva libraries with the eventual goal of one library card for the state. Minerva libraries can opt in for the testing. There will be more information coming from MIN staff. This was discussed at the circulation roundtable meeting on April 3 so check with your circ staff to hear the full details from that meeting.
-Reminders on the perils of splitting up DVD/Blu-ray sets. Check all the features, numbers etc. when putting items on already existing DVD or Blu-ray bibs. The policy in located on the cataloging section of MIN website. If you have any questions about this issue, please email the committee.
Next Meeting Friday, September 6, 2019. Details will be sent out in late summer. We hope to see many of you at the training session on June 14, 2019.
