Lynn: Windham has been brought in and the transition went smoothly. Freeport will be brought in on Monday (12/15).
Lynn is working on a cataloging manual and a create list manual for Sierra.
Ellen: No report.
Katherine: (The full report can be found at the end of the minutes) Meetings will no longer be available on DVDs. Meetings will be made available through streamed video the day after the meeting. Librarians who view the streamed video will still need to send in an email to get credit for watching the meeting. The email address is Minervaattendance at gmail.com
The Cataloging Committee is asking the Executive Board for approval to end the use of the 791 field for materials that are part of local special collections. Instead of using the 791, libraries can use featured lists, add a note to item records, add a link on the library’s website, or create a new location.
When new libraries are brought in their records will be suppressed so that duplicates can be dealt with without cluttering the catalog.
001 fields
The 001 field is used for OCLC numbers. There should be nothing in this field except valid OCLC numbers. Incorrect 001s interfere with record loads and can cause problems with matching records in MaineCat. If you know that the information in the 001 is incorrect you can replace it with the correct number or if you are unsure you can just take it out.
[cid:image001.png at 01D01878.51229F30]The image to the left is an example of a correct 001 field. The OCoLC in the 003 field is a good indication that it is correct. The OCLC number may also appear in a 035 field.
If the 003 says DLC this most likely means that the 001 number is a Library of Congress number and should be updated or removed. OCLC numbers do not have letters in them.

Editing out inapplicable ISBNs should be done by the cataloger who is importing or creating the bib. A cataloger who is attaching may add an ISBN if it is relevant. Make sure that the ISBN fields are correct for your item. Also, remove any prices. It is especially important to make sure that ebook ISBNs are removed from print records and that print ISBNs are removed from e-material.
How to Add Days Closed
In Sierra follow these steps:

Pick a row with your location code and choose Insert (this will add a row above)
For Location add your location code with an * at end (example: mso*)
For Days Closed enter the date you want in this format: 01/14 – choose Save (it takes a while for it to save).

Subject Headings
Acceptable Subject Headings:
Library of Congress – second indicator will be a 0 or a 1
MESH (medical headings) – second indicator will be 2
Genre Headings – second indicator will be 7 and it will end with either “gsafd” or “lcgft”
Unacceptable Subject Headings:

Fast (OCoLC)
Library of Congress Subject Headings with a second indicator 1 are children’s headings, which LC is no longer supporting. It is recommended to use second indicator 0 and then add “juvenile” to the form subdivision, i.e. |vJuvenile fiction.

The 520 is not a review or a complete plot description. It should be a brief summary that is unbiased and objective. The recommendation is to keep the summary to 50 words or less.
Indicators
Don’t skip blank indicator spaces. White squares indicate a missing indicator. To figure out what indicator to use right click and then go to MARC Tag Info.
Field Group Tags
The first letter at the beginning of the field is a Field Group Tag. When you insert a new field you do not need to change the question mark just tab to the MARC tag number and it will complete it for you.
700
There have been a few changes to the 700 field under RDA. There is now sometimes a subfield i at the beginning of the field. An example of this change is here:

Authority Headings
Make sure to verify that headings are correct. To do this, right click by the name and then choose Verify Heading.
Graphic Novels

December 2014 Report
Cataloging Roundtable Meetings
Starting in December the roundtable meetings will be available to view only on streaming video. We believe that streaming video is a better way for catalogers to view a missed meeting than requesting and waiting for a DVD. Catalogers will still need to email that they have viewed the meeting. The link will be sent out on MinervaCats.

Approved Recommendations from the Executive Board
New Minerva libraries records
When new members’ bib records are added to Minerva all unique bibliographic records that cannot be matched will be suppressed until the owning library brings the record up to Minerva cataloging standards and determines that they are not false duplicates. This will prevent the OPAC from being overloaded with duplicate and below standard records.
Pending Recommendation
791 MARC field
When this field was discontinued by MARC 21 for Bibliographic Data Minerva continued to use it for libraries to indicate materials that were part of a local special collection. Minerva libraries would submit an application to use it for items such as Cornerstones of Science. Libraries now can use Sierra’s featured lists, or post a document to their web site indicating materials are part of a special collection. MARC 791 is no longer a viable option, and it is cluttering the OPAC, and further encourages the placement of individual library-specific information in the bib record. We now have over 10,000 records that use the MARC 791 field.
We recommend that this field no longer be used in Minerva. We would keep all current MARC 791, but in the future Minerva libraries would not use 791 to indicate local special collections.
