Roundtable Dates
The Minerva Cataloging Roundtables are held on the 2nd Friday of March, June, September and December.
The 2024 schedule is March 8, 2024; June 14, 2024; September 13, 2024 and December 13, 2024. Currently the roundtables are held on Zoom. Zoom invitations and meeting agendas are sent out on the listserv called MinervaCats (minervacats@maineinfonet.org) prior to each meeting. You can subscribe to MinervaCats by accessing Listservs for Maine Librarians.

Brief outline of Roundtable Attendance Policy
- Attend three meetings (preference).
- Alternative is to view three recorded meetings.
- Committee keeps track of attendance.
- If a library hasn’t fulfilled the required meetings by January of the following calendar year the library and chair of the Minerva Executive Board will be notified that permissions (to bring in records from Z39.5 and create new records) will be turned off.
- To regain permissions, library needs to attend a meeting in the following calendar year.
A representative from a Minerva library needs to attend three meetings per year or the alternative, view the video streamed meetings, to ensure that they are well informed about cataloging issues and solutions to keep the OPAC clean, and in compliance with rules established by RDA and standards set by the Minerva cataloging standards committee. Catalogers unable to attend due to staff, distance, and/or budget issues can view a missed catalogers’ users meeting. The cataloging committee will keep track of attendance and those viewing from video streaming to determine which libraries follow the attendance policy.
Libraries have one month to watch the video. A library has until January of the following calendar year to attend or view three meetings before any consequences are imposed. An example is for 2023 a library needs to attend or view three meetings before January 15, 2024.
If a library does not fulfill the meeting requirements then the library loses the ability to create new records and to bring in records from Z39.5. The cataloging committee will inform the chair of the Minerva Executive Board and Maine InfoNet (MIN) staff. The library will regain the permissions by attending a meeting in the current year. Once this has been met then permissions will be turned back on.
