Attaching Item Records
- Under the Circulation Function, select Search/Holds or Catalog.
- Change the search index to Title from the drop down list if it isn’t already.
- Type the title of the magazine.
- If you are unable to find it by name…
- Change the search index to Standard No. and type in the ISSN of the magazine.
- If a list of records appear with the same name, pick the one that fits the item in hand.
- If you are unable to find it by name…
- The record should open up to the item summary. Select the Edit icon to verify that it is the correct bib record to attach your item record.
- Verify that your location is listed.
- Mat Type is ‘b’ for periodical.
- Title matches
- Select the Summary
- The summary screen view should be set to Item. If it isn’t, please change it by clicking the drop down arrow and choosing Item.
- Select the Attach New Item
- When you are prompted to choose a template, pick one that has been designed for serials. If there isn’t one, please create one or use another that is easily adjusted.
- Follow the template prompts.
- When prompted for a Call # please use either a specific classification # with vol./issue format or for those who do not use a classification to clearly identify their serials, use the below options as guidance. The key here is to use consistency.
Monthly 2014: 01 Weekly(year: month day format) 2014: 01 04 Multiple year & month 2013: 12/2014: 01 Multiple year, month & day 2013:12 27/2014: 01 03 Season 2014: SPRING - When prompted for volume #, please use the below as a guideline. If not prompted in the template you chose, select the Insert icon and in the drop-down menu choose Volume.
Volume v. 45 or vol. 45 Issue iss. 2 or issue 2 Volume and Issue v. 45, iss. 2 or vol. 45, issue 2 - Type the volume and issue number when prompted if they are available. If you do not have a volume or issue number, then add the call number data again.
- Scan the barcode when prompted.
- Review the item record.
- Select the Save icon.
II. To verify the record works…
- Go to the Functions menu and select Check–In (No Patron) and scan the barcode.
- If the item record appears and the status is ‘Not Checked Out’, then the item record creation was successful.
- If you receive the message below, most likely the barcode didn’t completely scan or was omitted when creating the item record.
- Go back to the bib record and find the item record you just created.
- Double-click on the record and select the Record # tab.
- Review the barcode. If it is incorrect, highlight the barcode #s and scan the serial’s barcode again.
- Select the Save icon.
- Repeat step II. 1.
